What we record about a student, and why
Working draft. This notice describes exactly what the platform does today. It has not yet been through the legal review the programme requires before launch, and the final wording may differ.
What this platform is
The student platform delivers Prepstar Academy’s SAT small-group programme: practice tests, weekly assignments, attendance and homework records, and the progress views parents and tutors use. Marketing, payments and customer records live in Prepstar’s other systems, not here.
What is collected
A student’s name and email; their group, tutor, target score and official test date; every answer they give on a practice test, including how long they spent, whether they changed their answer and whether they left the test window; the reason they give for a mistake; and dated attendance, homework and weekly test records. Parents and guardians provide a name and email so they can be linked to their child.
Why it is collected
To teach: the mistake record is what tells a tutor what to cover next week. And to administer the score guarantee: participation records are the evidence behind any guarantee decision, which is why they are kept in a form that cannot be quietly altered.
Who can see it
A student sees only their own information. A parent or guardian sees their own children’s participation, guarantee standing and score progress — deliberately not their question-by-question answers. A tutor sees only the students in their assigned groups. Prepstar staff administering the programme see all enrolled students. No student data is sold, and none is shared for advertising.
Consent
Most students are under 18, so a parent or guardian must consent before a student can be enrolled. The platform will not create a student account without a recorded consent. The wording consented to is:The parent or guardian consents to Prepstar Academy collecting and processing this student’s practice test results, attendance, homework and assessment records for the purpose of delivering tutoring and administering the score guarantee, and understands the records are kept for the retention period set by Prepstar and can be deleted on request.
How long it is kept
Records are kept for 24 months after an enrolment ends, so that a guarantee question raised after the fact can still be answered. After that, a student’s records can be deleted on request or as a matter of course. Deletion removes the tests, answers, participation records and identifiers; what remains is a dated note that a deletion happened, which contains no personal information.
How it is protected
Data is encrypted in transit and at rest, held in a managed database with access limited to the platform, and every correction to a participation record is attributed to the person who made it.
Asking for a copy, a correction, or deletion
Parents and guardians can ask for any of these by writing to admin@prepstaracademy.com. A correction never erases what was there before — it is recorded alongside the original, with the reason.
